Tracking Attendance and Service Minutes for School SLPs
Please tell me I'm not the only one who has had to figure out whether a student actually received all of their speech therapy minutes.
You know the drill.
A student was absent. Then YOU were absent. Then there was a field trip. Then a fire drill. Then testing. Then an assembly. Then, somehow, it's May, and you're looking at your schedule, thinking...
Wait. Did I make up those minutes?!
And this is exactly why I think every school SLP needs a system for tracking service minutes.
Nothing complicated that takes 45 minutes every Friday afternoon. Just something that lets you look at a student and quickly answer:
Did I provide the services I'm supposed to provide?
Why I Track Service Minutes
There are a few reasons I like keeping track of service minutes, but honestly, the biggest one is that I don't want to rely on my memory.
We have enough to remember, and heaven forbid I forget to take my ADHD medication one day.
I want to know when a student missed a session, WHY they missed it, whether that session needs to be made up, and what I've actually provided.
And if I ever need to show documentation for an IEP or Medicaid purposes, I don't want to be digging through my calendar trying to piece together what happened three months ago.
I want the information to already be there.
I’ve Tried All the Systems (Trust Me)
I've tried different ways of keeping track of attendance and service minutes over the years.
Calendars. Notes. Paper. Spreadsheets. If there’s another way, I’ve tried it.
And while there's nothing inherently wrong with any of those methods, I eventually realized that I wanted something that was simple enough that I would actually use it every day.
Because the best tracking system in the world isn't helpful if you don't keep it updated.
My Current System
I use a digital service-minute tracker and keep it right in my Google Drive. I update it at the end of each session, or at the very latest, at the end of the day.
That's important for me!
I don't want to tell myself, “I'll fill that in later”, because we all know what happens when “later” comes around.
I can't remember what I had for lunch, much less which student missed speech on Tuesday three weeks ago (or even worse, WHY they missed)!
The digital version is especially helpful because it does some of the calculating for me.
And when I'm trying to keep track of a whole caseload, anything that saves me a little mental energy is a win.
What I Actually Want to Know
For each student, I want to be able to see their services at a glance.
The tracker includes an individual student view with a monthly layout, space for notes, and a way to document missed sessions.
The digital version also has drop-down options for common reasons a student may miss a session. This is one of those little things that I really appreciate.
Instead of typing out the same thing over and over, I can select the reason and move on. There is also a key at the bottom with documentation codes for missed sessions, which is included in both the digital and PDF versions.
And Then There Are Makeups...
This is another reason I like having everything in one place.
When a student misses a session, I don't want to just think, “Oh, I'll remember that.”
Nope. I want to document it.
That way, when I'm looking back at my service minutes, I have a record of what happened and can determine whether a makeup is needed.
It gives me a much clearer picture of what I'm actually providing instead of relying on my increasingly questionable memory.
So...I Made One.
After using different systems to keep track of attendance and service minutes, I decided to make a tracker that included the things I actually wanted.
And then I thought... If I need this, maybe another SLP does too.
